Information we collect

• Registration information: the information you provide as required by the registration page when you register an account, including your name, email address, phone number and company name.
• Real-name verification information: to fulfil our statutory obligation to verify users' true identity, we collect the identity information you provide as required by the verification page when you use features that require real-name verification. The categories of information required are as displayed on the verification page. Where sensitive personal information such as an ID document number or facial information is involved, we will give you separate notice and obtain your separate consent before collecting it.
• Feedback: when you send us feedback on an issue, we collect your account and the details of that feedback.
• Billing information: to process payments, issue statements and issue invoices, we use your registration information and collect the transaction records returned by the payment channel. If you request an invoice, we also collect the invoice title and tax number you provide.
• Business data: the data and content you upload, create or process while using the product — for example files, knowledge base content, workflows and their run data, and your interactions with agents and models. This data is under your control, and we process it solely to provide the service to you.
• Log information: when you use the product, we collect your operation and call records to analyse and improve the product, including but not limited to your account, IP address, operation time and request records.
• Operational data: when you run tasks in the product, we collect run-monitoring information to handle and resolve the issues you encounter, including compute resource usage, task status, call counts and usage statistics. This information does not include the content of the data you process.
• Cookies and similar technologies: to keep the website and the product working, we store cookie files in your browser, mainly to maintain your login session, perform security checks and carry out basic statistical analysis; we do not use them for any purpose beyond those described in this Policy. You can manage or delete cookies through your browser settings; if you disable cookies, features such as staying logged in may not work properly.

Our use of collected information

We process your personal information on lawful bases such as necessity for the performance of an agreement, compliance with a legal obligation, or your consent, specifically to:

• Establish contact with you, respond to your comments and questions, and provide technical support and customer service
• Provide product features to you and complete billing, settlement and statement issuance
• Operate, maintain and improve our products, and safeguard product and account security
• Complete real-name verification and identity checks, and fulfil the statutory obligations regarding the management of true identity information
• Comply with applicable laws and regulations, cooperate with supervision and audits, and assert or defend legal rights

With your consent, we may send you product updates or event information. You may opt out at any time through the unsubscribe link in the email, the unsubscribe instructions in the SMS, or by contacting [email protected], which does not affect your normal use of the product.

Your business data and AI services

• Not used for training: we do not use your business data to train our models.
• Data isolation: your inputs and outputs are isolated from those of other customers and are not made available to them.
• Model services and data flows: Genesis provides model services by forwarding. When you call a model, your input is transmitted to the model provider you selected, which generates and returns the result. All model providers currently integrated are located within mainland China, and your input is not transmitted outside mainland China. You can see the provider behind each model in the Model Marketplace. That provider's handling of the data is governed by its own policies and by the terms agreed between us and it.
• Entrusted processing relationship: where your business data contains personal information, you are the personal information handler for that personal information and we are the entrusted party processing it on your behalf. We process such personal information only within the scope of your instructions and for the purpose of providing this service to you, on the following terms:
  • Purpose of processing: only as necessary to provide the features of MatrixOne Intelligence to you;
  • Means of processing: storage, parsing, chunking, vectorisation and retrieval; computation according to the workflows and agents you configure; and transmission to the model provider you selected, on your instruction;
  • Processing period: from the date you upload or generate the data until you delete it, the service term expires, or this entrustment ends;
  • Categories of personal information: as determined by what you actually upload or generate, at your discretion;
  • Protective measures: as described in the "Security of your personal information" section of this Policy;
  • No processing beyond scope: without your consent, we will not use such personal information for any purpose beyond this clause, nor sub-entrust its processing to others;
  • Return or deletion: after this entrustment ends, we will return or delete such personal information as you instruct and will not retain it, except where laws or regulations impose a mandatory retention requirement.

You must ensure that you have a lawful basis for collecting and providing such personal information to us, and that you have given the required notices and obtained the necessary consents in accordance with the law.

Sharing and disclosure of personal information

We do not disclose your personal information to third parties, except in the following cases:

• Third-party services: third-party vendors or service providers that provide services to us and need access to the relevant information;
• Aggregated or anonymised data: we may share with third parties information that has been anonymised, cannot identify a specific individual and cannot be restored;
• Compliance with law: we may disclose your personal information where required by law, legal process, litigation or a mandatory request from a competent government authority;
• Business transfer: in the event of any business transfer, merger, financing, acquisition or dissolution.

Your legal rights to personal information

• Access or correction: you may contact us at [email protected] to view or correct your personal information.
• Account deregistration: you may contact us at [email protected] to deregister your account; we will complete the process within fifteen (15) working days after verifying your identity, and a deregistered account cannot be restored.
• Deletion of personal information: you may request deletion of your personal information in the following cases:
  • our processing of personal information violates laws or regulations;
  • we collected or used your personal information without your consent;
  • our processing of personal information seriously breaches our agreement with you;
  • you no longer use our products and services.

Data retention and deletion

We retain your personal information only for as long as necessary to achieve the purposes described in this Privacy Policy. Once the retention period expires, we will delete or anonymise your personal information.

• Account information and real-name verification information: retained while you use the service; after you deregister your account, we will delete or anonymise it, except where laws or regulations impose a mandatory retention requirement.
• Business data: retained while you use the service; after you delete the relevant content or deregister your account, we will delete it within the period stated in the product documentation (where the product documentation does not specify one, within 30 days after the service ends or the account is deregistered), after which it cannot be recovered.
• Information retained by law: where laws or regulations prescribe a retention period for specific information (for example network logs and transaction records), we will retain it for the statutory period even after you have deregistered your account.

Security of your personal information

We store your registration information, billing information, log information, operational data and your business data on servers located within mainland China, and take reasonable measures to protect your personal information against loss, misuse and unauthorised access, disclosure, alteration and damage.

Updates to this Privacy Policy

This Privacy Policy may change. For ordinary changes we will publish the update on our website and update the publication date. For material changes — such as those affecting the purpose of processing, the means of processing, or the categories of personal information processed — we will notify you by prominent notice on the page, in-product message or email, and will obtain your consent again where laws and regulations require it. We will not reduce the rights you have under this Policy without your explicit consent. Historical versions of this Policy are archived on our website for your reference.
